This Privacy Policy explains how Knowly ("we", "us") collects, uses, and protects information when you create an account and use the service to build a knowledge base and embed an AI chat assistant on your website.
Information we collect
- Account details — your first and last name, email address, and optionally your phone number and address.
- Documents you upload — the files you add to your knowledge bases, which are stored and processed to answer questions.
- Conversation data — messages exchanged through your embedded widget, along with each visitor's IP address, browser type, and timestamps.
- Consent records — when you accept this policy we record the version, the date and time, and your source IP address for our records.
- Technical data — session tokens and similar information needed to keep you signed in and operate the service.
How we use your information
- To create and secure your account and authenticate you.
- To process your documents and generate answers for your customers.
- To display, manage, and (optionally) auto-remove conversations according to the retention settings you choose per knowledge base.
- To communicate with you about your account, such as email verification.
AI processing
Answers are generated from the content you upload. Depending on your deployment, document processing and question answering may run on your own infrastructure or a local language model, so your content stays under your control.
Data retention
We keep account and knowledge-base data for as long as your account is active. Conversations may be automatically deleted based on the per-knowledge-base retention settings you configure. You may delete knowledge bases, documents, and conversations at any time; deleting them removes the associated data.
Sharing
We do not sell your personal information. Information is shared only as needed to operate the service or where required by law.
Security
We use reasonable technical and organizational measures to protect your data. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
Your choices
You can update your account information, delete your content, or request deletion of your account by contacting us.
